Privacy Policy of the Transform4Europe (T4EU) Alliance Web Services

About

The Transform4Europe Alliance attaches great importance to respecting the privacy of users visiting web services related to the implementation of the Alliance’s objectives. This document describes for what purpose and in what manner your data is collected and processed within the scope of T4EU activities.

Data Collection and External Links

The Transform4Europe Alliance websites facilitate participation in various activities, such as T4EU conferences, university-wide lectures, language courses, and mobility opportunities.

Please note that registration for these activities often takes place via external forms or platforms managed by partner universities or third-party service providers. In such cases, data is provided voluntarily by the user directly to the respective entity. The Alliance web services may also host internal forms for creating accounts in systems supporting international cooperation, where personal data provided is not visible to unauthorized persons.

Newsletter Subscription (SARE)

The Alliance offers a newsletter service to keep users informed about its activities, events, and opportunities. For the purpose of distribution, we use the SARE system. By subscribing to the newsletter, the user provides their email address voluntarily. The processing of this data is strictly for the delivery of the requested informational content, and users may unsubscribe at any time.

Purpose of Processing

Employee accounts in IT systems dedicated to Transform4Europe are created for purposes necessary for performing duties related to the T4EU project.

Automated Data Collection and Analytics

In order to ensure security, maintain user sessions, and optimize services, the IT systems of the T4EU web services automatically collect and process data. The Transform4Europe website uses Matomo, an open-source, ethical web analytics platform, to handle this process while respecting user privacy.

  • Visitor Profiling and Technical Data: For statistical purposes, security monitoring, and to optimize user experience, the system automatically collects:
    • the IP address (processed in an anonymized way/masked so it cannot identify an individual),
    • a unique, non-identifying Visitor ID,
    • the name of the client station and technical details of devices used (e.g., desktop, mobile, browser type),
    • the username in the authorization process (if applicable),
    • the time of the inquiry, duration of the visit, and number of pages viewed,
    • entry sources (e.g., direct entry, search engines),
    • information on message headers and response status,
    • approximate geographic location (e.g., city and country).
  • Technical Cookies: The website uses technical cookies only to ensure proper operation and core functionalities. These cookies are “Always Active” as they are essential for the website to display correctly and maintain security.
  • Other Cookies: The website may occasionally contain uncategorized cookies that are currently being analyzed and have not yet been classified into a specific category.
  • Management: While technical cookies are necessary for the site to function, users can control the behavior of their web browser with respect to other types of tracking.

Social Media and External Links

The T4EU website utilizes plugins for social networking sites (Facebook, Instagram, YouTube, Issuu, LinkedIn) to promote Alliance activities. The Alliance is not responsible for the privacy policies of external entities or partner institutions to which links are provided for registration or informational purposes. Users should familiarize themselves with the specific privacy rules of those entities.

Security and Data Protection

Technical and organizational efforts are made to ensure that data processed within Transform4Europe projects are properly protected against unauthorized access.

Information Obligation (GDPR)

In every case requiring the collection of personal data (e.g., T4EU recruitment forms or newsletter subscription), the user will be informed by the respective controller in an information clause about:

  1. The method and purpose of data processing.
  2. The rights of the data subject (in accordance with the GDPR).
  3. Data sharing among Transform4Europe Alliance partners, as necessary for service delivery (e.g., joint educational programs or issuance of certificates).

Changes to the Policy

In the event of a change to the current privacy policy, appropriate modifications will be made to the above provisions.
